When to send the follow-up email
The safe window is 3 to 5 business days after the interview. Sooner than that reads anxious. Later and the conversation already feels cold to the interviewer.
One exception. If you had an onsite or a final round, a short thank-you note the same evening is expected, separate from a longer follow-up a few days later. The same-day thank-you option in the form covers that case.
If the recruiter gave a specific decision date, wait until 1 to 2 days after that date before sending a nudge. Pinging before the stated decision day reads pushy.
What a good follow-up actually contains
Four pieces. A short thank-you with the interviewer named. One concrete reference to something you discussed, not a generic “I enjoyed our conversation.” A single sentence confirming continued interest. And a clear, low-pressure ask about next steps.
What doesn't belong: a re-pitch of your resume, three paragraphs of gratitude, any sentence that starts with “I wanted to take this opportunity to...” That last one is the single biggest AI tell in a follow-up email, and recruiters flag it fast.
Aim for 120 to 180 words across subject and body. That is two short paragraphs. If your email is longer, you are probably re-selling yourself, which you do not need to do after the interview.
Why the stage matters
